Committee meeting 10.08.2020

Attendees: Zorn, Alberto, Chris, Jon, Nick, Signe, Jesper, Becky, Simon, Mette

Non-attending: René

Location: Bootleggers, Copenhagen

Agenda

·       Signing Simon's papers (for verification for the bank)

·       Status from all

Jesper: Got elected to the DRU board. First board meeting is Sunday.

Signe: No training due to low numbers, but hoping it is due to summer and not lack of interest. Starting training back up this week. Tournaments are undecided and pending the DRU. Anticipating DRUs feedback on the friendly games at DM 7s, before hearing the ladies if they want to participate.

Nick: Everything is good.

Jon: Has had a long break. There was a bus trip, which was fun. About 30 people participated including Greg from Bootleggers and Anders from the bus company. (Zorn interrupts and says CBS would love to get invited in the future). Looking for someone to host a private Halloween party. Also looking into places for AD&D in case we are allowed to have a party. Citruscrush is now a house IPA and there are Exiles prices on that as well.

Chris: Recruitment has also had a break. Started doing Facebook posts again, and got lots of views which is good. Plan is to start recruitment in start of September when DTU starts up. Handing out flyers. Most DTU events are cancelled. Plans are to do a rookie day again. (Becky suggest two rookie days, Chris says maybe add on the invite to just show up if you can’t make it for rookie day).

Alberto: Working on getting more flyers. And on more postesr and web site and will be making a plan with Becky soonish.

Rene: Has talked to Henrik. We can use the changing rooms again. But have to follow the general COVID guidelines. Rene will ask if there will be sanitizer in the rooms. There are no trophy cases at current time. They don’t mind putting one up but Exiles will have to pay for it ourselves (but there are other ways to get money). DTU are putting up a semi permanent sun shade.

Zorn: will check if we can disinfect the showers. Most games are getting cancelled/moved. Surprising amount of new people.

Mette: Sorting through all the mails.

Becky: Lots of communication happening start of Covid break with DRU (and Johannes). Quiet right now. But expects lots more communication now that phase 5 is getting closer and possibility of games happening. Recruitment posts are getting planned with Chris and Alberto. Web site will be redone. And planning to provide feedback to DTU and klubmodul on the set up.

Simon: We need to sign the papers! But we should consider creating a power of attorney on matters around finanstilsynet. Nick will find out if this can be done and how. Finances are looking good.

·       COVID training; how has it gone and what are the future plans

No one has had COVID as far as we aware, so that is at least good.

On the men’s team, there is a still a struggle to get them to remember to use hand sanitizer during training, although all gear is disinfected prior to training. The guys are doing some contact at training – It is suggested that for the men’s team, there needs to be a table placed closer to the training area with sanitizer available to get them to remember to use it.

Simon should buy more disinfection. Harry’s “sergeants” are in charge of making sure the men’s team disinfect.

Becky will look into how much a sanitizing station will cost.

It is suggested that both the men’s and women’s team put a post in the group, reminding everyone to follow the guidelines. After practice everyone are good at sanitizing.

For the first official game Zorn would like to know how the disinfecting will be done. And how will water duty be handled. In general, all guidelines for gamedays should be specified. Will World rugby laws be applied? Clarify the diagram in minutes. Is touch in extreme orange? When will they expand to more minutes? Becky will ask Rie /DRU.

On the women’s teams, hands are being disinfected whenever there is a water break.

·       Subs 2020

Is taking subs for 2020 fair? There will be no bus trips for 2020 (for the men’s). And if AD&D doesn’t happen. Students will have paid for less than what they expected. We should consider if there should be a refund or a free party. At the committee meeting when we decide on whether AD&D, we will decide how we will deal with the economic surplus and come up with a fair solution for all who have paid subs for the year.

·       Online file sharing

Jon and Mette will discuss, and Rebecca will look up Onedrive pricing options.

·       Recruitment

DTU have cut down on number exchange students.

·       Important dates

AD&D (Zorn suggests picking a day like Scandi 7s has second weekend of August). It will be the 21st November. We will take it up at AGM. Jon is looking for a room.

(DM 7s)

Joined home game? Maybe do a BBQ after a home game.

Rookie event on the 15st or 22nd of September

·       Face masks

Should not be offered to earn money, only if people would like to wear them.

Akuma prices: kids 10euro adults 12,5euro

Vote was 5/5

Becky will check if the masks are CE marked as the sundhedsmyndigheder prescribes.

Becky will get a sample and specs. And will create a poll on when/if it is necessary.

Becky will do the work so Becky decides.
