Agenda

AGM 2020
- Becky has created a Facebook event, and will also send out an email to all members signed up on the website with information regarding time, location, agenda (including constitution and last years minutes).
-Becky will print and bring copies of minutes from last years AGM for the 15th.
-Becky will share FB event in ‘Old Boys’ group and Exiles Ladies group / Zorn to share in the men’s FB group.
-Marc will be chairman for meeting (Becky will take notes).
-Simon is working on finalizing accounts and budget – should be completed by early Feb.
-Really important that in the coming year we keep an eye on incoming and outgoing expenses.
-Robin will not be running again, but we have a potential candidate to fill the position.

- Issue with changing the subs on the website, due to the klubmodul system not being very flexible. New sub prices will be available per 1st of Feb and Becky will send out a ‘please pay your subs’ reminder.
All paid up members will not have to pay for any bus trips this year – supporters / non-paid up members will still pay 100kr
-Please make sure people write in the mobile pay message what they are paying for

Intro Week (Robin)
Intro week at DTU begins on Tuesday the 28th at 09:00 – we will be sharing the sports hall with the ultimate frisbee guys.

It is 3 x 45 minute workshops, followed by the fair in the afternoon, where we will also have a stand. We have volunteers lined up to help and hope to recruit many new students.  
Remember to take lots of photos.
 

Flyers & Posters (Robin - / Alberto)
We will be using up the last of the flyers for this intro week, so we need to look into having more made – perhaps also with an updated look / as well as a new design for the posters.
-Alberto will look into this (perhaps during the planning day with Becky)
Currently the Exiles banner is at Hastag’s place – need to get it back. Considering new banner.

Content for Website 2020
-Becky would like to update the website and some of the redesigns may require additional funding.
-The plan is to sit down with Alberto and look at the content, the redesign and come up with plan for both website, Social Media and branding for the 2020 season.
Jesper suggests we can seek funding from DTU for this upgrade.
-Becky would like to make sure the content is up to date but this requires input from club members / committee members.

Merchandise 2020.
- Will only be doing one merchandise run this year, but will purchase additional items (only the most popular / best selling ones) to keep in stock for new members.
- still have a few pieces from last years merchandise we are trying to shift.
-Zorn will take point on ties and boxers for the men’s team.

Bootleggers 2020.
-Greg har already reached out to Jon and Becky regarding updated prices and discounts at Bootleggers.
-Becky would like to have a meeting regarding sponsorship in 2020
-Specifically looking towards getting some funding for a club physio and focus on player welfare (at training and home games)
-Can also apply to DGI fund

General Update on Men’s team
- The Kit is ok for this season but some of the shirts are coming apart at the seams. Becky suggest to have these sewed up before pre-season (either she will mend them or ask for help from the ladies team). Seems to be a large issue on the forwards shirts.
-Coaching situation. Still looking for a head coach as right now it is mainly player based and that is problematic.
-Lesser games this year due to division schedule. Zorn is working on adding more games to the roster by arranging friendlies.

DRU AGM 2020 (Marc)
- Will be held on 28th and 29th of March, need to confirm participation (most likely Becky and new Secretary)
-We voted NO for DRU accounts at last AGM and will put a motion forward that budget should be approved at AGM.s We are still lacking a lot of transparency from DRU regarding budget and accounts and official job descriptions (which have been requested on multiple occasions)
-The men’s team are training twice a week and would like to use the gym at Lyngby Stadium throughout February as well (as they did in January) – Marc to ask for extension.

Astroturf for Winter (Marc)
- Marc is attending last minute meeting on Feb 5th regarding schedule for next year as renovation plan got messed up. Need to find out where to train next year.



Jon – Social update
The Annual Dinner & Dance was a huge success!
-The venue is happy to have us again next time.
(René to check when the DTU Grad party is, so we can settle on a date for AD&D as soon as possible).
-Six nations. Jon will be posting every Wednesday about the plan for the weekend.

Misc.
- Issue with lock at shed, most likely due to age of door.
René to look into this.
Trophy case at DTU for trophies
René to look into this.

-We need a beer run after the Annual Dinner & Dance (Zorn has already arranged a date for this.)
